Writing a Strong Recruitment Message

Your recruitment message needs to answer 4 questions in under 100 words:

  1. Who are you? — Clan name, faction, level, current member count (e.g., "30-member Vampire clan, Clan Level 8")
  2. What do you do? — Primary focus: "Mythic+ progression clears 3× weekly" or "casual PvP evenings" or "Clan Wars top 50 server"
  3. What do you expect? — "10+ hours per week" or "show up for clan wars" or "no requirement, just be friendly"
  4. What do you offer? — "Clan bank, crafting support, Mythic+ team" or "experienced players to learn from"

Example: "[Crimson Court] — 30-member Vampire clan, Level 8. Focus: Mythic+ progression (currently clearing M+12). Expectation: 2 dungeon runs per week minimum. We offer: funded clan bank, Discord, and an active M+ team. DM for invite."

Where to Post

  • In-game Clan Finder (G → Clans → Post Recruitment): Best reach. Stays posted for 48 hours, then requires renewal. Post at peak hours (6–10pm your server timezone).
  • World Chat: Post your 1-sentence summary once per hour during active play. Don't spam — one message per hour maximum.
  • Faction Capital Chat: Players in the capital are often looking for clans. Recruit here during high-activity periods.
  • After Dungeon Runs: If a random player performed well in your group, send a direct invite. Personal invites have the highest acceptance rate.

Vetting Applicants

🤝 Green Flags vs. Red Flags

  • Green: Item Level appropriate for your clan's content level, consistent daily logins, left previous clan 7+ days ago (shows they're settled)
  • Green: Has completed dungeons relevant to what you run, has PvP achievements if you're a PvP clan
  • Red: Left 3+ clans in the past month (clan hopper, will leave again), total playtime under 20 hours (high dropout risk)
  • Red: Asking immediately about clan bank access or vault permissions (looking to exploit, not contribute)
  • Red: No recent activity (offline for 7+ days) despite showing interest — likely semi-quit player

The Trial System

Run every recruit through a 7-day trial as Initiate rank before promoting to Member:

  1. Invite as Initiate (Clan → Members → Invite as Initiate)
  2. After 7 days, check: Activity Log (at least 5 of 7 days logged in), Dungeon participation (joined at least 1 clan run if you run them), any chat issues or complaints from other members
  3. Promote or remove based on the evidence, not gut feeling
  4. A brief message on removal is courtesy: "We don't think it's a fit — best of luck" keeps things clean

Retention: Keeping Good Members

  • Recognize contribution: Call out strong performances in clan chat ("great Mythic+ run, [Name]"). Public recognition is free and effective.
  • Have a promotion path: Member → Veteran → Officer should be achievable and visible. Players stay when they see a trajectory.
  • Run scheduled events: Weekly clan dungeon night, Clan War coordination — scheduled activities keep attendance predictable.
  • The 2-week warning: If a good member goes offline for 14 days without notice, send a message. Often they're going through something and a simple check-in brings them back.

Handling Problem Members

  1. One private warning first: Send a direct message explaining the issue (toxic chat, missing required events, etc.). Most problems solve at this stage.
  2. One public acknowledgment: If it continues, a calm note in clan chat that you've asked [member] to adjust their behavior. This signals to the rest of the clan you handle issues.
  3. Remove on third offense: Don't wait for consensus — slow action poisons morale faster than the problem member does. Remove clearly and without extended drama.
